Accommodation Operations > Management of Linen - Page 10

INVENTORY CONTROL:

Housekeeping department has the major part of its budget involved in the linen of the hotel. To ensure the control on this major part of the budget investment the department conducts time-to-time inventory. The reason for the inventory is to identify the shortages in the circulation and to request the fulfilling of these shortages by purchasing the supply. The inventory is conducted at least once in the year where it is done under the direct supervision of the EHK or the DHK and in coordination with the representative of the accounts department.

The person from the accounts check all the linen, which is proposed for discarding and takes decision for it’s discarding. Whatever linen is discarded is marked with the black permanent ink and stamps thee mark of DISCARD on it and is put out of circulation. If the company policy allows it can be used for duster of any other back of the house or cleaning works. At the time of inventory all the movement of linen stops and the EHK /DHK and the Accounts officer physically count the linen in the Laundry, Linen Room, Floor Pantry, Maids Cart, Dirty on the floor and also spot check and include the linen in the rooms with it.

This way the total linen available for circulation is derived and this is reduced from the last years closing or this years opening balance. The balance should be zero but if there is any balance than there can be shortage or excess of the linen. This can be due to repeat count ting or short counting of the linen, which is rechecked if, felt necessary. If the difference still exist than action is taken as per the company policy.

Apart from this yearly inventory housekeeping department conducts its internal inventory regularly to control its linen. This inventory can be done on monthly, quarterly, or half yearly basis. One such inventory is also done prior to the yearly inventory by accounts department to check the inventory of the linen. Thus an impotent role is played by the inventory in housekeeping department in the control of the linen for the department.
